Event Planners Industry Terminology
ADA Compliance
Meeting Americans with Disabilities Act requirements so events are accessible to people with disabilities (e.g., ramps, accessible seating, captioning, wayfinding). Includes venue selection, communications access, and service accommodations.
-Ensure ADA compliance by adding a ramp and reserved wheelchair seating near the stage. -The RFP asks venues to detail their ADA compliance features. -We’re budgeting for ASL interpreters to maintain ADA compliance during keynotes.
Attrition Clause
A contract provision that outlines penalties or remedies if the group fails to meet minimum room block pickup or F&B guarantees. Often includes allowable slippage (e.g., 10%).
-Our attrition clause allows 15% slippage on the room block before penalties apply. -We renegotiated the attrition clause due to revised attendance forecasts. -Track weekly pickup so we don’t trigger the attrition clause.
AV (Audio-Visual)
Equipment and services for sound, lighting, projection, video, staging, and streaming. Managed by in-house or third-party AV providers.
-The AV quote includes LED walls, line-array speakers, and two confidence monitors. -Add wireless lav mics to the AV order for panelists. -Confirm the AV rehearsal schedule with the show caller.
Banquet Event Order (BEO)
A detailed document from the venue/caterer specifying service times, menus, room sets, staffing, and pricing for each F&B function. Considered the operational blueprint for hospitality functions.
-Sign the BEO by Friday so banquets can place orders. -The BEO shows a 60-minute coffee break with 1.5 gallons per 10 attendees. -Update the BEO to reflect the vegan menu change.
Breakout Session
A smaller, concurrent session that complements main-stage programming. Often tailored by topic, audience level, or track.
-We’ll run four breakout sessions after the keynote. -Each breakout needs a projector, screen, and two handheld mics. -Cap each breakout at 60 attendees to maintain interactivity.
CAD Floorplan
A scaled digital diagram (Computer-Aided Design) showing room dimensions, stages, seating, aisles, booths, egress, and utilities. Used for approvals and operations.
-Send the CAD floorplan to the fire marshal for egress approval. -Update the CAD to widen aisles to 12 feet. -The AV team needs the CAD file to place rigging points.
Certificate of Insurance (COI)
Proof of insurance coverage (e.g., general liability) listing required limits and additional insureds. Often required by venues and municipalities.
-The venue needs our COI with $2M aggregate and them as additional insured. -Ask exhibitors to upload their COI via the portal. -The COI rider must cover the off-site reception.
Critical Path
The sequence of tasks that determines the minimal time to complete a project; delays on critical tasks delay the event. Used for schedule risk management.
-Catering approvals are on the critical path for print deadlines. -Track critical path tasks in the Gantt chart. -Rigging sign-off is critical path for AV load-in.
DMC (Destination Management Company)
A local expert firm providing logistics, transportation, tours, off-site venues, décor, and staffing in a specific destination.
-Hire a DMC to manage airport transfers and city tours. -The DMC proposed three off-site venues within budget. -Ask the DMC for a rain plan for the welcome party.
Drayage
Material handling services and fees to move freight from the dock or advance warehouse to the booth or show floor and back, including storage of empties.
-Drayage is billed by hundredweight (CWT) with minimums. -Mark empty crates for drayage storage after setup. -Budget extra for drayage due to heavy machinery.
Event App
A mobile application that supports agendas, maps, push notifications, Q&A, networking, gamification, and lead scanning. Integrates with registration and CRM.
-Use the event app for live polling during sessions. -Push a room change notification via the app. -Sponsors get a featured banner in the event app.
Exhibitor Kit (Exhibitor Manual)
A comprehensive guide for exhibitors with deadlines, rules, order forms (e.g., power, internet, furniture), shipping labels, and drayage info.
-The exhibitor kit deadline for early-order pricing is next week. -Add a sustainability section to the exhibitor manual. -The kit includes target move-in times and floor rules.
Experiential Marketing
Live, immersive brand activations that create memorable interactions and user-generated content. Often tied to sponsorships and social sharing.
-Build an experiential lounge with product demos and AR. -The sponsor wants an experiential coffee bar with RFID engagement. -Measure experiential ROI via dwell time and scans.
F&B (Food and Beverage)
Catering services, menu planning, dietary accommodations, guarantees, and staffing for meals and breaks. Often governed by BEOs and minimums.
-Increase the F&B guarantee to 350 for lunch. -Track dietary tags so F&B can prep allergen-safe meals. -F&B minimums affect our rental waiver.
Force Majeure
A contract clause that excuses performance without liability due to events beyond control (e.g., natural disasters, government orders).
-Invoke force majeure if the venue is closed by mandate. -Confirm what triggers force majeure in our T&C. -The clause includes epidemics and travel bans.
Gantt Chart
A project management timeline showing tasks, durations, dependencies, and critical path. Used to manage pre-production and on-site milestones.
-Add the fire permit to the Gantt with a dependency on floorplan approval. -The Gantt chart flags a resource conflict during load-in. -Share the Gantt weekly with all workstream leads.
Green Room
A private backstage space for speakers or performers to prepare, wait, and receive briefings. Often includes hospitality and tech checks.
-Stock the green room with water, coffee, and light snacks. -Conduct mic checks with presenters in the green room. -Security should control access to the green room.
Hold Harmless Clause
An indemnification clause where one party agrees to assume liability and defend another party against specified claims.
-The hold harmless clause protects the venue from exhibitor negligence. -Legal asked to narrow the hold harmless language. -Ensure all vendors sign a hold harmless agreement.
Hybrid Event
An event that combines in-person and virtual experiences, enabling remote attendance for sessions, networking, or content on-demand.
-Our hybrid event streams keynotes and offers virtual breakouts. -Budget for a hybrid platform and broadcast-quality AV. -Promote hybrid access for international attendees.
Incentive Travel
Reward-based trips recognizing performance (sales, channel, employee). Emphasizes premium experiences, recognition, and ROI measurement.
-The incentive travel program targets top 5% of sales reps. -Add a spouse program to the incentive itinerary. -Track incentive ROI via retention and revenue lift.
Ingress/Egress
The flow of people entering and exiting venues or spaces; critical for safety, crowd control, and guest experience.
-Expand egress aisles to meet fire code. -Use stanchions to improve ingress at registration. -Security will monitor ingress/egress during peak times.
Just-In-Time (JIT) Logistics
Coordinating deliveries to arrive exactly when needed to reduce storage, handling, and congestion, especially during load-in/out.
-Schedule JIT deliveries to avoid dock backups. -The florist will JIT the centerpieces one hour pre-doors. -JIT requires confirmed target times in the marshaling yard.
KPI (Key Performance Indicator)
Quantifiable metrics to gauge event success (e.g., registrations, attendance rate, NPS, revenue, cost per lead, pipeline influence).
-Our KPI targets include 1,200 attendees and NPS of 60. -Track sponsor KPIs like leads scanned and session views. -Review KPIs in the post-event report.
Lead Retrieval
Technology that lets exhibitors or sponsors capture attendee contact info via badge scans, QR/NFC, or app interactions.
-Offer lead retrieval rentals to exhibitors. -Map badge QR to CRM fields for lead retrieval. -Train booth staff on lead retrieval qualifiers.
Load-In/Load-Out
The scheduled move-in and move-out of equipment, décor, booths, and freight. Governed by target times, dock rules, and union jurisdiction.
-AV load-in starts at 0600 on target day one. -Confirm union rules for load-out overtime. -Add extra dock marshals to speed load-in.
Master Account
A consolidated billing account at a hotel/venue for group charges (rooms, F&B, AV). Includes signing privileges and folio reviews.
-Add the VIP suite charges to the master account. -Reconcile the master folio nightly to catch errors. -Only designated staff can sign to the master account.
MICE (Meetings, Incentives, Conferences, Exhibitions)
An industry segment encompassing business events, incentive travel, conventions, and trade shows.
-Our agency specializes in MICE programs across APAC. -The city markets itself as a MICE destination. -MICE demand is driving new convention center builds.
Monetization Strategy
The plan for generating event revenue via tickets, sponsorships, exhibits, upsells, media rights, and on-demand content.
-Add a VIP tier to the monetization strategy. -Monetize recordings with post-event passes. -Bundle exhibitor leads into sponsorship monetization.
Net Square Footage (NSF)
The usable exhibit space excluding aisles, columns, service corridors, and staging areas; contrasts with gross square footage (GSF).
-We need 80,000 NSF for 300 booths. -The CAD shows 10% loss from GSF to NSF due to columns. -NSF determines booth inventory and pricing.
No-Show Rate
The percentage of registrants who do not attend. Used for forecasting F&B, seating, and revenue.
-Assume a 12% no-show rate for breakfast. -Our no-show rate dropped after reminder SMS. -Sponsor penalties are tied to no-show-adjusted deliverables.
On-Site Operations
All day-of event execution: staffing, registration, room turns, AV cues, vendor coordination, signage, and issue resolution.
-On-site operations meet at 0600 for the daily huddle. -Assign a floater to support breakout ops. -Radios are required for on-site operations leads.
Overflow Block
Additional hotel rooms contracted beyond the primary block, often at nearby properties once the main block sells out.
-Open the overflow block at the Courtyard next door. -Update the website with overflow block booking links. -Negotiate a shuttle for the overflow hotels.
Post-Event Survey
A feedback instrument sent to attendees, sponsors, and exhibitors to assess satisfaction, NPS, content quality, and ROI.
-Launch the post-event survey within 24 hours. -Include open-ended items about session relevance. -Share survey insights with speakers and sponsors.
Power Drop
An electrical service connection delivered to a booth or location, specified by voltage and amperage (e.g., 120V/20A).
-Order two additional 20A power drops for the demo area. -Mark power drop locations on the CAD. -Late power drops incur show-site pricing.
Production Schedule
A master timeline for all production tasks (AV, staging, décor, labor) across pre-production, setup, show days, and strike; complements the Run of Show.
-The production schedule lists rigging inspections before rehearsal. -Add lighting focus to the production schedule on day two. -Vendors must align to the production schedule milestones.
QR Code Check-In
A registration process where attendees present a QR code (email or app) to be scanned for fast badge printing and access control.

RFP (Request for Proposal)
A document sent to venues or vendors outlining requirements, deliverables, timelines, and budget to solicit competitive bids.

ROI (Return on Investment)
A financial and strategic measure comparing event benefits (revenue, pipeline, retention, brand lift) to costs.

Run of Show (ROS)
A minute-by-minute show-calling document listing cues, timings, speakers, and technical actions for live production.

Security Plan
A comprehensive plan addressing risk assessment, access control, bag checks, emergency response, medical, and incident reporting.
-Finalize the security plan with the venue and local authorities. -Include magnetometers per the security plan. -Brief staff on the emergency action plan.
Site Visit
An on-site inspection to evaluate a venue’s spaces, logistics, accessibility, and service, often prior to contract or final planning.
-Schedule a site visit to review loading docks and back-of-house. -Confirm column locations during the site visit. -Take photos and measurements on the site visit.
SOW (Statement of Work)
A contract attachment defining scope, deliverables, timelines, responsibilities, and pricing for vendor services.

Sponsorship Package
A bundled set of sponsor benefits with pricing (tiers, branding, leads, stage time, content, experiences). Includes deliverables and metrics.

Stakeholder Map
A tool identifying key stakeholders, their influence, interests, and communication plan across internal teams, vendors, sponsors, and venues.

T&C (Terms and Conditions)

Tiered Ticketing

Turnaround Time (TAT)

Vendor Management
Selecting, contracting, coordinating, and evaluating suppliers (AV, décor, catering, security) to meet scope, budget, and quality.

VIP Management
Planning and delivering high-touch experiences for VIPs (speakers, sponsors, executives) including hospitality, security, and concierge services.

Wi-Fi Density Planning
