Stationery and Office Supplies Industry Terminology

ABC Analysis

An inventory classification method that ranks items by their contribution to sales or usage (typically A = highest impact, B = moderate, C = lowest) to focus resources on what matters most.

The buyer ran an ABC analysis and learned that copy paper and ink were A items driving 70% of revenue.|We moved C-class items like novelty erasers to quarterly ordering to cut POs.|The distributor used ABC results to assign tighter min/max levels to A items and higher safety stock to B items.


Acid-Free Paper

Paper manufactured to a neutral or alkaline pH and typically lignin-free to resist deterioration, yellowing, and embrittlement over time; preferred for archival and premium stationery.

The museum requested acid-free, lignin-free sheets for archival prints.|Our premium notebooks specify acid-free paper to prevent yellowing over time.|The bid required acid-free index cards for long-term records storage.


Basis Weight

A U.S. paper measure (in pounds) of a ream of paper at its basic size (varies by grade). Used to indicate paper heft; not directly comparable across grades without conversion to GSM.

Standard copier paper in the U.S. is commonly 20 lb bond.|Marketing wants a heavier 80 lb cover stock for the catalog’s front page.|Convert the 24 lb spec to GSM to compare with EU bids.


Blister Pack

Thermoformed plastic cavity sealed to a paperboard card, used to display and protect small goods like pens, blades, and USB drives while enabling peg display and reducing pilferage.

We moved high-shrink pen SKUs into blister packs to deter theft.|The blister card was updated with a euro slot for pegboard hanging.|Retail requested a 2-pack blister to hit the $4.99 price point.


Category Management

A retailer–supplier process of managing a product category as a strategic business unit—optimizing assortment, pricing, space, and promotions to maximize sales and profit.

The category captain proposed a new planogram to grow gel pen share.|Quarterly line reviews are part of our category management process.|We used shopper data to rationalize the paper assortments by segment.


Coated vs Uncoated Paper

Coated papers have a surface layer (clay/calcium carbonate) for smoother finish and higher print fidelity; uncoated papers are more porous, write-friendly, and dry ink faster.

Marketing chose coated gloss for brochure covers and uncoated for the letterhead.|Gel inks dry slower on coated stock; test for smudge resistance.|The print job calls for uncoated 70 lb text for better writability.


CPSIA Compliance

U.S. Consumer Product Safety Improvement Act requirements for children’s products, including limits on lead and phthalates, testing, certification, and tracking labels—relevant to school supplies.

Our school markers are CPSIA-compliant and labeled for age grading.|The lab reports show lead and phthalates meet CPSIA limits.|We added tracking labels to comply with CPSIA for kids’ scissors.


Die-Cut

A converting process that uses a shaped steel rule to cut paper, board, or labels into precise shapes (windows, tabs, slots), enabling functional and decorative features.

The index dividers are die-cut to create staggered tabs.|We added a die-cut business card slot to the presentation folder.|The packaging needs custom die-cuts for the window and hang hole.


Dimensional (DIM) Weight

A freight billing method based on a package’s volume (L×W×H) relative to weight. Encourages efficient packing and can significantly affect shipping cost for light, bulky items.

Shipping moved to DIM weight and our bulky binders got more expensive.|We right-sized master cartons to reduce DIM charges on e-commerce orders.|The carrier’s DIM divisor changed; update our landed cost model.


EDI (Electronic Data Interchange)

Standardized, computer-to-computer exchange of business documents (POs, ASNs, invoices) using formats like ANSI X12 or EDIFACT to streamline ordering and reduce manual errors.

The retailer requires 850 POs and 856 ASNs over EDI.|Chargebacks hit when our 810 invoices had an EDI mapping error.|We onboarded a VAN to handle EDI with three distributors.


EOQ (Economic Order Quantity)

A formula to determine the optimal order size that minimizes the total of ordering and holding costs based on demand, ordering cost, and carrying cost.

Using EOQ, we cut ordering costs for printer paper without raising stockouts.|The EOQ model suggests monthly buys on staples given demand and holding cost.|We re-ran EOQ after freight surcharges increased.


FOB (Free On Board)

A shipping term indicating where ownership and risk transfer and who pays freight. In practice often used in North America to denote whether price includes delivery to a specified point.

Our price is FOB origin; the buyer pays freight from our DC.|They requested FOB destination to include delivery to the store.|Clarify Incoterms—FOB is for sea freight; for domestic truck we specify terms clearly.


FSC Certification

Forest Stewardship Council certification attesting to responsible forestry and verified chain of custody, enabling on-product environmental claims for paper-based goods.

The tender requires FSC Mix or FSC 100% copy paper.|Ensure chain-of-custody documentation for FSC claims on notebooks.|We added the FSC logo to the packaging after certification.


GMROI (Gross Margin Return on Inventory Investment)

A retail profitability metric = Gross Margin Dollars ÷ Average Inventory Cost, indicating how effectively inventory generates margin.

Gel pens deliver higher GMROI than ballpoints despite lower turns.|We dropped a low-GMROI filing SKU that tied up capital.|The merchant tracks GMROI by subcategory in line reviews.


GSM (Grams per Square Meter)

Global standard measure of paper weight per unit area, allowing direct comparison across grades and sizes; often preferred over basis weight.

Standard office paper is typically 75–80 GSM in many markets.|The planner converted 24 lb bond to 90 GSM for EU specs.|The art pad calls for 200 GSM to prevent bleed-through.


Hang Tab

An adhesive or integrated plastic tab with a slot that allows products to hang on retail pegs, enhancing visibility and space efficiency.

We added a hang tab so the staplers can sit on pegboard.|The finance team okayed hang tabs to improve facings without new fixtures.|A delta hang tab reduces card size and DIM weight.


Hot-Melt Adhesive

A thermoplastic adhesive applied molten; bonds quickly as it cools. Common in tapes, labels, packaging, and glue sticks; performance varies by substrate and temperature.

Our packaging tape uses hot-melt for quick tack on recycled cartons.|The glue stick line advertises low-temperature hot-melt for classrooms.|Hot-melt labels failed in the freezer test; we’ll trial acrylic.


Ink: Dye vs Pigment

Dye inks dissolve colorants for vivid color but can bleed/fade; pigment inks suspend solid particles for improved water/UV resistance and archival stability.

Pigment pens offer better water and fade resistance for archival work.|Dye-based highlighters are brighter but can bleed on thin paper.|We tested pigment gel ink on coated stock for smudge resistance.


Inventory Turns

A velocity metric showing how many times inventory cycles in a period, typically Cost of Goods Sold ÷ Average Inventory. Higher turns indicate faster sell-through.

Our filing category improved from 3 to 4 turns after SKU rationalization.|Aim for higher turns on dated calendars to reduce markdowns.|The distributor benchmarks pen turns against GMROI.


ISO 216 Paper Sizes

International standard defining A, B, and C series paper sizes (e.g., A4 = 210×297 mm). A-series sizes maintain aspect ratio when halved.

The export SKU must be A4, not US Letter.|Pricing sheets list A-series sizes from A0 to A6 for notebooks.|We added A5 planners due to EU demand.


Jam-Resistant Mechanism

Design features in devices like staplers, shredders, and punches that reduce or prevent jams through optimized paths, sensors, or mechanical geometry.

The stapler’s jam-resistant anvil cut returns reduced RMAs.|Our shredder’s anti-jam sensor pauses feed at 12 sheets.|Marketing calls out jam-free 100-sheet punching on the spec card.


JIT (Just-In-Time)

A lean inventory strategy that times deliveries and production closely to demand to minimize on-hand inventory, requiring reliable suppliers and quick response.

The office dealer uses JIT replenishment to cut backroom stock.|Supply shocks showed the risk of JIT on imported markers.|We aligned factory cycles with JIT delivery windows for a key retailer.


Key Account

A strategic customer generating significant volume or influence, typically receiving tailored assortments, pricing, service levels, and joint planning.

The key account wants a private-label notebook set for back-to-school.|We assigned a dedicated KAM to the top office superstore.|Key accounts receive quarterly business reviews and custom promos.


KPI (Key Performance Indicator)

Quantifiable metric used to evaluate performance against goals, such as on-time delivery, defect rate, fill rate, or on-shelf availability.

Fill rate and OTIF are KPIs on our vendor scorecard.|The ops team missed the cycle count accuracy KPI this month.|E-commerce PDP content score is a new KPI for marketplaces.


Landed Cost

The total cost to bring a product to its destination, including unit cost, freight, duties/taxes, insurance, and handling—used for pricing and margin analysis.

The landed cost rose after duty reclassification on OPP binders.|Include ocean freight, drayage, and customs fees in the landed cost.|DIM charges increased our e-commerce landed cost per unit.


Lead Time

The elapsed time from order placement to receipt, including production, transit, and processing; variability affects service levels and safety stock.

Current lead time for gel pens is 75 days door-to-door.|We added safety stock after supplier lead time variability increased.|Promotions require 12-week lead time for custom blister cards.


MAP (Minimum Advertised Price)

A policy that sets the lowest price at which retailers may advertise a product; does not dictate actual selling price but helps maintain price integrity.

The reseller violated MAP by listing the marker set at $7.99.|MAP helps protect brand value across e-commerce channels.|We updated MAP holidays for back-to-school promos.


MOQ (Minimum Order Quantity)

The smallest quantity a supplier will accept per order, style, or color, often driven by setup costs, packaging, or economic production runs.

The pen factory’s MOQ is 10,000 units per color.|We negotiated a lower MOQ on premium notebooks to test demand.|Inner pack MOQs forced us to adjust case pack planning.


NAICS Code

North American industry classification system used by government and businesses to categorize economic activity for reporting, bidding, and analysis.

We use NAICS 453210 for office supplies retail analysis.|The RFP limits bids to vendors under specific NAICS codes.|Segment benchmarking relies on NAICS-based sales data.


Net 30 (Payment Terms)

A common trade credit term where the invoice is due 30 days after the invoice date, sometimes with early payment discounts.

The wholesaler offers 2/10, Net 30 to encourage early payment.|Moving to Net 45 strained the dealer’s cash flow.|AP flagged overdue Net 30 invoices from two accounts.


OEM (Original Equipment Manufacturer)

A company that makes parts or finished goods used or branded by another company; in office supplies, often the factory behind branded or private-label products.

We OEM the stapler mechanism for a national brand.|The buyer asked if the laminator is OEM or private label.|OEM parts must meet the printer’s warranty specs.


Opacity (Paper)

A measure of how much light passes through paper; higher opacity reduces show-through/ghosting when printing or writing on both sides.

High opacity notebooks prevent show-through from highlighters.|The bid specifies ≥ 92% opacity on copy paper.|Low opacity caused ghosting on both sides of the planner pages.


PEFC Certification

Programme for the Endorsement of Forest Certification, a global framework that recognizes sustainable forestry standards and chain-of-custody for paper products.

The tender accepts FSC or PEFC certified paper.|Our mill’s PEFC chain-of-custody supports sustainable claims.|Packaging artwork now includes the PEFC logo.


Planogram

A schematic that dictates product placement, facings, and shelf allocation in retail fixtures to maximize sales and ensure consistency across stores.

The new planogram adds two facings for gel pens on the gondola.|Store audits found 78% planogram compliance.|We used heat maps to optimize the planogram for notebooks.


Private Label

Products branded by a retailer or distributor and sourced from manufacturers, often offering better margins and channel exclusivity.

QC (Quality Control)

Operational processes and inspections to ensure products meet defined specifications and defect thresholds, often using AQL sampling standards.

REACH Compliance

RTV (Return to Vendor)

A process and policy for returning defective, damaged, or unsold goods to the supplier, including authorization, logistics, and credit terms.

The retailer issued an RTV for bent clipboards and short-dated glue.|Our RTV policy covers defects within 90 days of delivery.|We negotiated RTV allowances for seasonal overstocks.


Safety Stock

Buffer inventory held to absorb demand and lead-time variability, protecting service levels without excessive overstock.

SFI Certification

Shrink (Inventory Loss)

Tape Core Size

The diameter of the tape roll’s central core (commonly 1 inch or 3 inches), dictating dispenser compatibility and packaging format.

Office tape refills require 1-inch cores; industrial uses 3-inch.|The dispenser listing must specify compatible core size.|We consolidated to 3-inch cores to streamline packaging.


Trade Promotion Spend

Manufacturer funds allocated to retailer-facing promotions (discounts, co-op advertising, endcaps) to drive sales and visibility.

Trade spend funds the endcap and BOGOs for back-to-school.|We analyzed ROI of trade promotions on the marker category.|The buyer requested extra co-op to support a circular ad.


UPC Barcode

A 12-digit GS1 barcode widely used in North America for retail point-of-sale identification and inventory tracking.

Vendor-Managed Inventory (VMI)

VOC Content

Wire-Binding (3:1 or 2:1 Pitch)

Xylene-Free Ink
