Party Rental and Supply Stores Industry Terminology
ABC Analysis
An inventory classification method that prioritizes control and forecasting based on value and velocity: A (high value, tight control), B (moderate), C (low value, simple control).
- Chiavari chairs are A-items; check counts daily. - Café lights are B-items—weekly cycle counts are fine. - Plastic table numbers are C-items; reorder only when low.
AHJ (Authority Having Jurisdiction)
The local official or agency (often the fire marshal or building department) that interprets and enforces codes for temporary structures, electrical, life safety, and permits.
- Confirm the AHJ requires a tent permit for anything over 400 sq ft. - The AHJ capped occupancy at 250 based on egress. - Send the stamped drawings to the AHJ by Friday.
Asset Utilization
A performance metric showing the percentage of time rentable assets are on rent or generating revenue over a period (e.g., days on rent/available days).
- Our tent asset utilization hit 78% this month. - Boost chair utilization by offering weekday discounts. - Underutilized heaters should be promoted in shoulder seasons.
Ballast
Weights (e.g., concrete blocks, water barrels) used to secure tents/structures when staking isn’t possible; the amount is specified by engineering based on wind loads and surface conditions.
- Use eight 1,000-lb blocks per the ballast schedule. - Water barrels are acceptable ballast only with engineer approval. - Wind forecast requires increasing ballast on the west side.
Banquet Event Order (BEO)
A document from the venue or caterer that outlines event details (timelines, counts, diagrams, access), which rental companies use to align delivery, setup, and strikes.
- Load-in must match the venue’s BEO window. - The BEO shows final guest count at 180. - Cross-check power needs against the BEO.
Barcoding
The use of barcode labels and scanners to identify items, improve pick accuracy, speed check-in/out, and support inventory control.
- Barcode every chair cart for faster scanning. - Scan barcodes at pick, load, and return to improve accuracy. - Broken barcodes caused check-in delays.
CAD Layout
A digital diagram of the event space and equipment placements (tents, tables, stages, egress), used for planning, permitting, and on-site execution.
- Share the CAD layout with the planner for approval. - CAD shows 25 rounds, 10 per table, plus dance floor. - Update the CAD to reflect the stage extension.
Cancellation Policy
Contract terms that define fees, timelines, and conditions when a client cancels all or part of an order; often tied to lost labor, routing, and prep costs.
- 50% fee if canceled within 7 days of delivery. - Special-order linens follow a stricter cancellation policy. - The policy allows rescheduling without penalty once.
Certificate of Insurance (COI)
Proof of insurance coverage; often includes endorsements like additional insured and waiver of subrogation required by venues or municipalities.
- Venue requires a COI naming them as additional insured. - Upload the COI before releasing the order. - COI must show general liability and auto coverage.
Clearspan Structure
A modular, engineered, frame-based structure (no interior poles) with kedered fabric in extruded aluminum beams; supports larger spans and higher wind ratings.
- Client wants a 20m clearspan with glass walls. - Clearspan bay spacing is 5m; adjust CAD accordingly. - Engineer specified kedered roof panels for the clearspan.
Cross-Rental
Procuring inventory from another rental company to fulfill demand spikes or specialty needs; also called subrental.
- We’ll cross-rent 100 extra gold forks from ABC Rentals. - Cross-rental rate is 60% of our retail price. - Track cross-rentals separately for margin analysis.
Damage Waiver
An optional fee that limits the renter’s financial responsibility for accidental damage to rented items, with exclusions (e.g., loss, negligence, weather events).
- Damage waiver is 10% of the rental subtotal. - It covers accidental breakage, not loss or theft. - Declining the waiver requires proof of comparable insurance.
Delivery Window
The scheduled time range for delivery or pickup; impacts routing, staffing, and service levels.
- The BEO shows a 9–11 AM delivery window. - Tight window—add a second truck. - We missed the window; apply wait time fee?
Dry Hire
Equipment rental without labor or operators; the client handles setup/operation. Opposite is ‘wet hire’ with labor/techs included.
- Speakers are dry hire; client provides a tech. - Tents are not dry hire due to safety and permitting. - Dry hire requires a credit card on file.
Egress
Code-compliant exit routes and widths that must remain unobstructed for safe evacuation from tents and venues.
- Maintain 72-inch egress aisles per fire code. - Don’t block egress with cocktail rounds. - Mark egress on the CAD drawing.
Engineer-Stamped Drawings
Structural and anchoring plans reviewed and certified by a licensed engineer, often required by the AHJ for large tents/structures.
- Submit stamped drawings with the tent permit. - The ballast plan must be stamped. - Changes to footprint require updated stamped drawings.
Flame-Retardant Certificate
Documentation verifying that textiles (tents, sidewalls, drape, linens) meet flame-resistance standards (e.g., NFPA 701).
- Provide FR certs for all sidewalls. - Upload the linen FR certificates to the job file. - The fire marshal will check FR tags on-site.
Frame Tent
A freestanding tent supported by an aluminum frame without center poles, allowing flexible layouts; anchored by stakes or ballast.
- Use a 40x60 frame tent due to patio stakes. - Frame tents allow clear interiors. - Ballast the frame tent—no staking into pavers.
GFCI (Ground-Fault Circuit Interrupter)
A safety device that shuts off power when it detects ground faults, required on temporary power for wet/outdoor environments.
- Run all outdoor power through GFCI. - The coffee urns tripped the GFCI—check loads. - Add portable GFCI to the spider boxes.
GVWR (Gross Vehicle Weight Rating)
The maximum safe operating weight of a vehicle as specified by the manufacturer; critical for DOT compliance and routing.
- Don’t exceed the truck’s GVWR with the tent load. - GVWR determines if a CDL driver is required. - We’re close to GVWR—split into two routes.
Hold Harmless Agreement
A contractual clause where one party agrees not to hold the other liable for certain losses or claims; often paired with indemnification.

Inventory Turn
The number of times inventory rents or cycles through in a period; a key profitability and purchasing metric.
- Chiavari inventory turned 22 times last year. - Increase linen turns by reducing turn time. - Low turn items may be candidates for cross-rental.
Keder
A bead or bolt-rope edge that slides into a track on tent beams, creating secure, weather-resistant connections for fabric panels.
- Slide the roof panel into the keder track. - Order replacement keder bead for the sidewalls. - Kedered panels speed up installs.
Kitting
Bundling multiple SKUs into a predefined set for ease of picking, transporting, and billing (e.g., place-setting kits, stage kits).
- Kit table settings in 10-place packs. - Create a DJ kit with mixer, speakers, and stands. - Kitting reduces pick errors and speeds load-out.
Lead Time
The time between order initiation and delivery or availability; includes procurement, laundering, prep, and scheduling.
- We need a 2-week lead time for specialty linens. - Short lead time—expect a rush fee. - Increase reorder points to cover vendor lead times.
Load-In/Load-Out
The scheduled installation (load-in) and teardown/pickup (load-out) windows at the venue or site.
- Load-in is 7 AM; the venue opens at 6:30. - Load-out must be complete by midnight. - Stagger crews to cover both load-in and strike.
Long Carry Fee
A labor surcharge applied when equipment must be carried an extended distance, up stairs, or without close truck access.
- Add long carry—dock is 300 feet from ballroom. - Stairs trigger the long carry fee per policy. - Elevator access waives the long carry charge.
Net Terms
Payment terms specifying when invoices are due (e.g., Net 30), potentially with early-payment discounts.
- This client is Net 30 with approved credit. - Move them to COD; they violated Net 15. - Offer 2/10 Net 30 to speed collections.
On-Rent/Off-Rent
Status timestamps marking when rental charges start and stop for an item or contract.
- Chairs go on-rent at 8 AM Friday. - Off-rent begins when the client releases. - Bill through off-rent, not pickup time.
Pick Ticket
A warehouse document listing items and quantities to pull for an order; drives picking, staging, and load-out.
- Print the pick ticket after the order locks. - Scanner shows 2 short on the pick ticket. - QC signs off on the completed pick ticket.
Pole Tent
A tensioned tent supported by center and side poles; requires staking into the ground for proper tension and stability.
- Use a 60-wide pole tent for the lawn. - Center poles impact sightlines—note on CAD. - Stake the pole tent per the staking plan.
Power Distro
The system that receives generator or mains power and distributes it via panels, spider boxes, and cabling to loads across the site.
- Run feeders to distro, then to spider boxes. - All caterer circuits come off the distro. - Label distro outputs to match the CAD power map.
Preventive Maintenance
Scheduled inspection, cleaning, and repair tasks that keep rental assets safe, functional, and rentable, reducing downtime.
- PM the dish machines monthly. - Schedule PM on tent fabric—clean and inspect seams. - Include PM hours in winter planning.
Proof of Delivery (POD)
Documentation (signature, photos, timestamps) confirming delivery or pickup occurred as contracted.
- Capture POD signatures in the driver app. - Photo POD shows chairs staged in Ballroom B. - No POD, no invoice—update process.
Replacement Cost
The price to replace an item with a new equivalent, used for billing losses or non-repairable damage.
- Lost glassware billed at replacement cost. - List tent fabric replacement costs in the contract. - Update replacement costs annually.
Restocking Fee
A fee covering labor and costs to process items already picked/prepped when orders are reduced or canceled.
- Restocking applies to items returned unused. - Canceled after prep—charge restocking. - Custom linens are exempt from restocking (non-returnable).
Safety Stock
Extra inventory kept to buffer against demand spikes and supply delays, reducing stockouts on high-priority SKUs.
- Hold safety stock on 60-inch rounds in peak season. - Low safety stock caused an out-of-stock on heaters. - Adjust safety stock for lead time variability.
Sales Order (SO)
The internal, approved order that authorizes fulfillment, delivery, and invoicing; typically created after client confirmation.
- Convert the quote to a sales order. - SO 15423 is locked—no changes without approval. - Attach the BEO to the SO.
Serialized Inventory
Items tracked individually with unique serial numbers for accountability, maintenance, and loss control.
- Generators are serialized—scan each unit. - Track serialized tents by bay for PM. - Serial mismatch flagged at check-in.
Sidewall
Tent wall panels (solid, windowed, or clear) added for weather protection, aesthetics, or containment; must meet FR standards.
- Add clear sidewalls on the river side. - FR-rated sidewalls only—per the fire marshal. - Secure sidewalls per the wind plan.
Site Survey
A pre-event inspection to assess access, surface, utilities, grades, and constraints, informing equipment choices and permits.
- Site survey Tuesday to measure slopes. - Confirm underground utilities during the survey. - Assess truck access and long carry on the survey.
Staking Plan
An engineered layout specifying number, location, and angle of tent stakes (or anchors) based on soil and wind requirements.
- Follow the engineer’s staking plan exactly. - Soil is sandy—update the staking plan. - Staking conflicts with irrigation—switch to ballast.
Tent Permit
Authorization from the AHJ to erect a temporary structure; may require drawings, FR certificates, occupancy and egress details.

Truck Pack
Planning and loading methodology that maximizes space (cube), protects assets, and maintains safe weight distribution.

Turn Time
The time required to receive, clean, repair, and prep inventory between rentals; a key constraint on availability.

Utility Locate (811)
The process of marking underground utilities prior to staking or digging; in the U.S., dial 811 to request locates.
- Call 811 before staking the parking lot. - Utility locate marks gas and fiber lines. - No staking until utilities are cleared.
Waiver of Subrogation
An insurance endorsement preventing an insurer from seeking recovery from a third party (e.g., venue), often required in contracts.
- Venue requires waiver of subrogation on the COI. - Our insurer approved the waiver for this event. - Add the waiver endorsement to the policy.
Wait Time Fee
A labor charge when crews are delayed beyond the scheduled window due to site inaccessibility or client readiness.
- Crew waited 90 minutes—apply wait time. - BEO change caused wait time at the dock. - Notify client when wait time starts accruing.
Will-Call
Customer pickup and return at the rental warehouse, typically with specified hours and ID/payment requirements.
- Order is will-call, pickup after 2 PM. - Hold will-call items for 24 hours only. - Will-call returns before noon avoid extra day charges.
Wind Rating
The maximum sustained wind (and gust) speed a tent/structure is engineered to withstand when properly anchored, guiding safety decisions.
- Clearspan wind rating is 75 mph per engineer. - High winds—lower sidewalls and monitor. - Exceeding wind rating triggers evacuation plan.
