Vending Routes Industry Terminology

Audit Mode (Machine)

A built-in diagnostic and reporting feature on vending machines that displays sales, cash, and error data without external tools. Used by route drivers and techs to verify counts and troubleshoot.

-We entered audit mode to confirm the machine’s cash and card totals. -The tech checked audit mode to identify a coin jam error code. -Audit mode showed 15 vends on column C3 since the last service.

Average Revenue per Machine (ARPM)

A productivity metric equal to total route revenue divided by the number of active machines, over a period. Guides pricing, product mix, and route optimization.

-Our ARPM rose 12% after adding cashless. -That low-traffic location drags down ARPM. -We benchmark ARPM monthly against route peers.

Bill Validator

The hardware module that accepts and authenticates paper currency, stacking bills after validation. Critical for uptime and cash acceptance.

-Clean the bill validator weekly to reduce rejects. -The validator firmware update improved $5 acceptance. -Swap the validator if reject rates exceed 5%.

Cash Accountability

Processes and controls ensuring that cash collected equals recorded sales, minimizing shrink and discrepancies. Encompasses drop counts, audits, and reconciliation.

-The driver failed cash accountability due to a $40 shortage. -Tighten cash accountability with sealed bags and dual counts. -DEX data supports stronger cash accountability.

Cashless Payments

Electronic payments including magstripe, EMV chip, and contactless wallets processed via card readers and gateways. Increase sales and reduce cash handling.

-Adding cashless lifted sales 20% at tech offices. -Check cashless transaction fees before setting pricing. -The reader was offline so cashless declined at lunch.

Commission Rate

The percentage of sales paid to the host location under a revenue share agreement. Influences machine placement and profitability.

-The school wants a 20% commission rate. -We negotiated a lower commission for exclusivity. -Commission rate is tiered above $2,000 monthly sales.

DEX (Data Exchange)

An industry-standard data protocol that transmits machine sales, cash/coin counts, and inventory info from controllers to handhelds or back-office systems.

-Pull a DEX file to verify cash accountability. -Our VMS ingests DEX for prekitting. -The DEX cable was loose, so the upload failed.

Drop Count

The physical counting of coins and cash removed (dropped) from a machine, compared against system totals. Supports reconciliation.

-The drop count was $585 versus $600 recorded. -Standardize drop counts with sealed cassettes. -DEX-to-drop variances trigger an audit.

Dynamic Routing

Adjusting route stops in real time based on telemetry, sales velocity, and stockouts to maximize efficiency and first-time fills.

-Dynamic routing removed three low-need stops today. -Telemetry flagged a near-empty campus machine for priority. -We cut route miles 15% with dynamic routing.

EOD Reconciliation (End of Day)

The daily process of matching cash/card sales, commissions, inventory movements, and bank deposits to identify variances.

-EOD reconciliation found a missing cash bag. -Card batches cleared after EOD, reducing open items. -We automated EOD with our VMS export.

First-Time Fix Rate (FTFR)

The percentage of service calls resolved during the first visit without follow-up. Higher FTFR reduces downtime and costs.

-Stocking common parts raised FTFR to 88%. -Jot detailed symptoms to improve FTFR. -FTFR dipped after we hired new techs.

Float (Cash Float)

Coins and small bills kept in the machine’s coin mech/hopper to make change. Managed to balance acceptance and cash exposure.

-Rebuild the float after heavy $5 usage. -Low float caused exact-change-only errors. -Set float targets per machine mix.
