Quick Lube and Oil Change Services Industry Terminology
Additive Package
The blend of chemicals in lubricants (e.g., detergents, dispersants, anti-wear like ZDDP, antioxidants, friction modifiers) that provide performance beyond the base oil.
- Customer with turbo GDI needs an oil with a strong detergent and LSPI-resistant additive package.- Tech noted the additive package is depleted per the UOA; recommend shorter interval.- OEM spec calls for a low-SAPS additive package for the DPF-equipped diesel.
API Service Category
American Petroleum Institute performance classifications (e.g., SP for gasoline, CK-4 for modern diesels) printed on the API “donut.” They define minimum performance for oxidation control, wear, LSPI, etc.
- This vehicle requires API SP or better; we have SP Resource Conserving in stock.- For that diesel, use API CK-4, not CJ-4.- Confirm the bottle shows the API donut and starburst.
ATF (Automatic Transmission Fluid)
Specialized fluid for automatic transmissions with specific OEM friction and viscosity requirements (e.g., Dexron, Mercon, ATF+4). Often serviced via drain-and-fill or exchange.
- This Ford calls for Mercon ULV; do not substitute Dexron III.- We recommend an ATF exchange at 60,000 miles for severe service.- Always verify ATF spec in the POS fitment before quoting.
Bay Throughput
A productivity KPI measuring how many vehicles each service bay completes in a time period (per hour/day). Drives labor planning and revenue capacity.
- Our goal is 2.5 cars per bay per hour during peak.- Stagger staffing to lift bay throughput on Saturdays.- QC rework is dragging throughput; tighten the checklist.
Bulk Oil
Engine or gear oil stored in onsite tanks or drums and dispensed through metered systems. Managed for inventory accuracy, contamination control, and cost.
- Top off bulk 0W-20 tank; delivery arrives Monday.- Log bulk meter calibration for audit compliance.- Bulk pricing improved COGS by 6% versus bottles.
Cabin Air Filter
Filter that cleans air entering the HVAC system; typically a quick upsell with high customer value. May be particulate-only or activated-carbon.
- Cabin filter is packed with debris; recommend replacement.- Use the OE-spec carbon cabin filter for odor control.- Document cabin filter condition in the DVI photos.
COGS (Cost of Goods Sold)
Direct costs of products sold (oil, filters, gaskets, additives, shop supplies). A key driver of gross margin in quick lube operations.
- COGS rose due to synthetic price increases; adjust menu pricing.- Track oil, filters, washers, and chemicals under COGS.- Better vendor terms lowered COGS by 2 points.
Conventional Oil
Mineral-based engine oil (non-synthetic) meeting API specs; suitable for standard service intervals but less resistant to oxidation and heat than synthetics.
- Basic LOF with conventional 5W-30 is our entry package.- For extended drains, conventional is not recommended.- Some older engines still spec conventional; verify OEM guidance.
Cross-Threading
Damaging threads by misaligning a fastener (e.g., drain plug or filter housing). Causes leaks and potential pan or housing replacement.
- Hand-start the drain plug to prevent cross-threading.- The filter cap threads are cross-threaded; quote a housing.- Cross-threading caused the leak; document and escalate.
Digital Vehicle Inspection (DVI)
Electronic, photo-rich inspection shared via text/email that documents findings, builds trust, and drives approvals. Often integrated with POS/CRM.
- Send the DVI with photos of the sludge and the torn belt.- Our DVI adoption increased approval rates by 12%.- Include tire tread depths and battery test in the DVI.
Drain Plug Torque
The manufacturer’s specified tightening torque for the oil drain plug. Critical for sealing and preventing pan damage.
- Spec is 30 N·m; use a torque wrench, not “feel.”- Over-torque cracked the pan; follow the table next time.- Replace the crush washer and torque to spec.
EPA Used Oil Management
Regulatory requirements for storing, labeling, transporting, and recycling used oil and related wastes (e.g., 40 CFR Part 279 in the U.S.).
- Label containers “Used Oil” and keep closed per 40 CFR 279.- Maintain spill kits and weekly container inspections.- File the waste oil manifest from last pickup.
Extended Drain Interval
Service intervals longer than traditional 3,000–5,000 miles, typically based on OLM algorithms, driving conditions, and OEM specs.
- With OEM-approved full synthetic, the OLM allows up to 10,000 miles.- Fleet severe duty does not qualify for extended intervals.- UOA supports extending to 7,500 miles on this van.
FIFO Inventory
First-in, first-out inventory rotation so older stock is used before newer stock, minimizing obsolescence and degradation.
- Stage filters by FIFO to avoid outdated stock.- Apply FIFO for bulk oil receipts in the POS.- FIFO reduced write-offs from aging SKUs.
Fleet Accounts
Business-to-business customer accounts (commercial, municipal) with negotiated pricing, billing terms, and reporting requirements.
- This fleet uses net-30 invoicing and requires PO numbers.- Add their VINs to the fleet profile for pricing rules.- Offer a pickup-and-delivery window for fleet units.
Full Synthetic Oil
Base oils with synthetic molecules (Group III/IV/V) offering superior oxidation resistance, cold start, and deposit control versus conventional.
- Recommend full synthetic 0W-20 for the turbo engine.- Our “Best” package is full synthetic with extended interval.- Use only full synthetic meeting dexos1 Gen 3.
Gasket/Crush Washer
A sealing washer used with drain plugs or fittings; deforms to seal. Common materials: aluminum, copper, fiber. Replace each service.
- Always replace the drain plug crush washer.- The copper washer is reusable? No—use a new one.- Oil seepage stopped after installing the correct gasket.
Gear Oil (GL Ratings)
Gear lubricants for axles and manual transmissions classified by API GL-1 to GL-5 (and MT-1) with specific EP properties.
- Rear differential calls for 75W-90 GL-5.- Some manuals require GL-4, not GL-5; check fitment.- Add limited-slip friction modifier only if specified.
High Mileage Oil
Engine oil formulated with seal conditioners and additive tweaks for older engines to help reduce minor leaks and consumption.
- Recommend high mileage 5W-30 for minor seal seepage.- Customer prefers high mileage due to 160k miles.- HM oil includes conditioners to help hardened seals.
HTHS Viscosity
High-Temperature High-Shear viscosity measured at 150°C under shear; critical for bearing protection and often specified by European OEMs.
- This Euro spec requires high HTHS oil.- Low-HTHS 0W-16 is for fuel economy, not heavy towing.- UOA shows shearing; HTHS stability matters here.
Integrated POS System
Point-of-sale software integrated with inventory, fitment databases, CRM, DVI, pricing, and reporting—core to shop workflow.
- The POS auto-populates filter numbers by VIN.- Use the POS to text DVIs and capture approvals.- POS tracks RPC and NPS on the dashboard.
Jobber
A wholesale distributor of lubricants, filters, and shop supplies serving quick lube locations.
- Call the jobber to quote bulk 0W-20 and filters.- The jobber’s route truck delivers twice weekly.- Switching jobbers improved fill rate and rebates.
KPI (Key Performance Indicator)
Quantifiable metrics used to monitor performance (e.g., revenue per car, car count, upsell rate, comebacks).
- RPC, car count, and bay throughput are our top KPIs.- Track comeback rate as a quality KPI.- Weekly KPI huddle drives accountability.
Labor Rate (Effective)
Average revenue per billed labor hour after factoring discounts and non-billable time; a profitability driver.
- Our effective labor rate is $92 after discounts.- Raising menu prices increased the effective rate.- Reduce non-billable tasks to lift the rate.
Lift Points
OEM-specified jacking or hoist contact locations on the vehicle’s frame or pinch welds to safely raise the car.
- Use the OE lift points to avoid rocker panel damage.- Document rusted lift points in the DVI.- Low-profile adapters needed for this coupe’s lift points.
LOF (Lube, Oil, Filter)
Industry shorthand for the core service: drain and refill engine oil, replace the oil filter and drain plug washer, and perform basic checks.
- Standard LOF includes oil, filter, washer, and inspection.- Write LOF on the RO and reset the OLM.- LOF time standard is 15 minutes per bay.
Make-Model-Engine Fitment
Correct parts and specifications linked to a vehicle’s exact configuration to avoid mismatches (filter type, oil spec, capacity).
- Confirm the 2.5L engine; the filter differs from the 3.5L.- The POS shows two O-ring sizes; match fitment by VIN.- Wrong fitment caused low oil pressure at start-up.
Menu Pricing
Structured price tiers and bundled services that simplify selling and align margins across conventional, blend, and full synthetic packages.
- Our Good/Better/Best menu helps explain value.- Update menu pricing after supplier cost changes.- Bundle wipers and cabin filter in the Better package.
Multi-Point Inspection
A standardized checklist covering key vehicle systems (fluids, filters, lights, tires, battery) to identify needed maintenance.
- Complete the 15-point inspection on every LOF.- Note air filter, belts, hoses, and fluids in the inspection.- Inspection photos improved approval rates.
Net Promoter Score (NPS)
Customer loyalty metric based on the question “How likely are you to recommend us?” Promoters minus detractors yields the score.
- Our NPS dipped to 69; investigate wait-time complaints.- DVI transparency helped raise NPS last quarter.- Survey every RO to track NPS weekly.
OEM Specification
Manufacturer requirements for oil chemistry and performance (e.g., GM dexos1 Gen 3, VW 508 00) and for parts fit and function.
- This Honda needs oil meeting API SP and ILSAC GF-6.- VW 508 00 is required; not all 0W-20s qualify.- Follow OEM spec for filter bypass and O-ring design.
Oil Life Monitor (OLM)
Vehicle algorithm estimating remaining oil life based on temperature, idle time, trips, and load; dictates service timing on many modern cars.
- Reset the OLM through the dash menu after LOF.- OLM shows 15%; advise service within 500 miles.- Severe duty driving lowers OLM percentages faster.
PPE (Personal Protective Equipment)
Protective gear such as gloves, safety glasses, face shields, and footwear required for safe quick lube operations.
- Wear nitrile gloves, safety glasses, and steel toes in bays.- Face shields required when draining hot oil.- PPE compliance is part of the safety audit.
Profit and Loss (P&L) Statement
Financial report summarizing revenue, COGS, gross margin, expenses, and net profit over a period; key for managing store performance.
- P&L shows margin pressure from rising oil costs.- RPC growth improved top line on the P&L.- Review P&L monthly with COGS and labor targets.
Quality Control Checklist
A standardized verification process to confirm critical steps (correct oil grade, capacity, torque, OLM reset, leaks) before vehicle release.
- QC step: verify drain plug torque and filter cap O-ring.- Manager signs off the QC checklist before releasing the car.- QC reduced comebacks by 40% last quarter.
Quick-Drain Valve
A replacement drain plug with a locking valve that allows tool-less, controlled oil draining and reduces thread wear.
- This fleet prefers quick-drain valves for faster service.- Engage the valve lock before wiping any drips.- Quote a quick-drain valve to reduce future labor time.
Revenue Per Car (RPC)
Average revenue collected per vehicle serviced; impacted by package mix, add-ons, and pricing. Core profitability KPI.
- Adding cabin filters raised RPC by $8.- RPC dipped when conventional outsold synthetic.- Train advisors on value-based recommendations to lift RPC.
RO/Work Order
The document (paper or digital) capturing customer authorization, services performed, parts, quantities, and technician notes.
- Attach photos to the RO and note OLM reset.- The RO lists oil grade, capacity, torque, and parts used.- Close the RO only after QC sign-off.
SAE Viscosity Grade
Society of Automotive Engineers grading (e.g., 0W-20, 5W-30) describing cold cranking and hot operating viscosity ranges.
- This engine requires SAE 0W-20; do not substitute 5W-30.- Multi-grade 5W-30 offers cold-start flow and hot protection.- Euro spec calls for SAE 5W-40 with higher HTHS.
Service Interval
Time or mileage between services as defined by OEMs or OLM; adjusted for severe duty (towing, short trips, dust).
- OEM normal vs severe service intervals differ widely.- Recommend a 6-month interval for low-mileage customers.- Document interval on the windshield sticker and in POS.
Synthetic Blend
A mixture of conventional and synthetic base oils providing improved performance at a lower cost than full synthetic.
- Mid-tier package uses synthetic blend 5W-30.- Blend offers better oxidation control than conventional.- Some OEMs still require full synthetic; verify before selling a blend.
TBN/TAN
Total Base Number (reserve alkalinity) and Total Acid Number (acidity) from oil analysis; indicate remaining additive reserve and oil degradation.
- UOA shows TBN of 3; time to change the oil.- TAN rising faster than TBN indicates oxidation.- Track TBN to justify extended intervals for fleets.
Torque Spec
Manufacturer’s specified torque for fasteners (e.g., oil filter housings, drain plugs, wheels) to ensure correct clamping without damage.
- Filter cap torque is 25 N·m; do not over-tighten.- Lug nuts must be torqued after tire rotation.- Use calibrated torque wrenches and record specs on the RO.
Top-Off Policy
Shop policy for topping fluids between services (often complimentary for recent customers), clarifying which fluids and limits apply.
- We offer free fluid top-offs within 3,000 miles.- Document any oil top-off amounts on the RO.- Top-off program increases retention and NPS.
UOA (Used Oil Analysis)
Laboratory testing of used engine oil for wear metals, contaminants, viscosity, TBN/TAN, and fuel dilution to inform maintenance decisions.
- Send a sample to monitor bearing wear metals.- UOA supports extending the fleet’s drain interval.- Fuel dilution flagged in UOA; recommend shorter OCI.
Upsell
Recommending additional services or upgrades based on evidence and customer needs to improve vehicle reliability and shop profitability.
- Use DVI photos to ethically upsell needed services.- Train on consultative selling, not pressure tactics.- Upsell wipers and cabin filter with evidence, not fear.
Viscosity Index
A measure of how much an oil’s viscosity changes with temperature; higher VI means more stable viscosity across temperature ranges.
- Higher VI oils change less with temperature swings.- This Euro oil has a high VI and strong HTHS.- VI improvers help multi-grade behavior.
Waste Oil Manifest
Documentation that tracks used oil from generator to recycler/disposal, required for regulatory compliance and audits.
- File the manifest from last week’s pickup.- Verify the hauler’s EPA ID on the manifest.- Keep manifests for the retention period required by law.
X-Ref (Filter Cross-Reference)
A mapping tool or database to translate an OEM or competitor part number to the stocked equivalent filter or part.
- Use the X-ref to match the OE filter to our brand.- The X-ref shows two options; verify the engine code.- Build an X-ref cheat sheet for top 100 applications.
ZDDP
Zinc dialkyldithiophosphate, a key anti-wear and antioxidant additive; levels are balanced to protect engines while safeguarding emissions systems.
- ZDDP provides anti-wear protection on cam lobes.- Low-SAPS oils limit ZDDP to protect catalysts.- Classic cars may need higher ZDDP formulations.
